If you've reserved two hours for a client and they don't turn up, that time has gone. You can't sell it again tomorrow.

That's why a clear booking and cancellation policy is so important.

Should You Take a Booking Fee?

You can.

A booking fee gives the client some commitment to the appointment and helps protect your diary.

Make sure clients know:

  • how much they need to pay
  • whether it comes off the final treatment price
  • how much notice you require
  • what happens if they cancel late
  • what happens if they don't turn up

Keep it clear and make sure they see the policy before booking.

How Much Notice Should You Ask For?

Many beauty businesses use 24 or 48 hours.

Choose a notice period that makes sense for your diary.

If you mainly offer long appointments, such as lash extensions, a longer notice period may be more appropriate because those spaces are harder to refill at short notice.

Can You Charge for a Late Cancellation or No-Show?

Yes.

Many booking systems allow businesses to charge a percentage or even up to 100% of the treatment price for a late cancellation or no-show.

If someone doesn't arrive for a two-hour appointment and you've had no chance to refill it, you've lost that income.

The important thing is that your terms are clear and the charge is fair rather than simply being used as a punishment.

What About Late Clients?

Include this in your policy too.

If a client arrives late, you may need to shorten the treatment or reschedule if there is no longer enough time to complete it properly.

Don't rush your work or make every other client late because one person didn't arrive on time.

Should You Make Exceptions?

You can use common sense.

A genuine emergency from a regular client is very different from someone who repeatedly cancels at the last minute.

Having a policy doesn't mean you can never use discretion.

A booking fee is required to secure your appointment and will be deducted from the final treatment price.

Please give at least 48 hours' notice if you need to cancel or reschedule.

Late cancellations may be subject to a cancellation charge.

No-shows may be charged up to 100% of the booked treatment price.

If you arrive late, your treatment may need to be shortened or rescheduled.

By booking, you confirm that you have read and accepted our booking and cancellation policy.

Having a cancellation policy isn't rude. It's part of running a business.
